Work with projects for SAP® Cloud ALM

You can create and edit processes in ARIS and export them to SAP® Cloud ALM.

Prerequisites

  • You have the Admin role.

  • You have the Configuration administrator function privilege.

  • You have the following credentials to connect to the SAP® Cloud ALM destination: URL of the SAP® Cloud ALM tenant, URL of the SAP® Cloud authentication service, API client ID, and API client secret.

Procedure. To use SAP® Cloud ALM:
    Add SAP® Cloud ALM destination

    To use ARIS as the leading BPM system to manage your business processes, you need to connect ARIS to a SAP® Cloud ALM destination. To use SAP® Cloud ALM, you must configure one or multiple SAP® Cloud ALM destinations if you want to connect to different SAP® Cloud ALM systems.

    The SAP® Cloud ALM API is monolingual, all attributes are saved in one language. The export from ARIS uses the language with that the user has logged in.

    Procedure. Procedure

    1. Click Application launcher Application launcher > Administration Administration.

    2. Click Conventions > SAP® Cloud ALM.

    3. Click Add Add destination. The dialog opens.

    4. Enter a name for the destination, the URL of the SAP® Cloud ALM tenant, and the URL of the SAP® Cloud authentication service.

    5. Select the diagram transfer options. The options selected are applied if users Export Export processes or BPMN diagrams:

      • Convert process models to BPMN diagrams

        Converts all process models of the EPC type and the VAD type to BPMN process diagrams. The default layout for generated BPMN diagrams is Horizontal .

      • Update BPMN process flow diagrams

        Converts all process models of the EPC type and the VAD type to BPMN process diagrams. The default layout for generated BPMN diagrams is Horizontal .

        In SAP® Cloud ALM it is not possible to change the name of an activity (a task in BPMN). If you have changed the name of an activity (task) in ARIS and export the change to SAP® Cloud ALM, an error message is logged.

        To solve this problem, you can open the diagram in the SAP® Cloud ALM process authoring and delete the task manually. Thus, no renaming occurs and the diagram can be updated. You may need to replace the renamed task with a new definition in ARIS. This depends on the usage of the object definitions (occurrences, assignment). You can create a new object definition with the same name and consolidate the two definitions.

        You can also de-select this option and the diagram is deleted in the corresponding diagram in SAP® Cloud ALM and a new diagram is created based on the given content. Note that in SAP® Cloud ALM, all relations in the diagram or content are lost.

        Optional: Enable Consider requirements. This option enables the requirement support. If you enable this option, the option Consider obsolete requirements becomes visible. This option allows you to remove requirement relations that are no longer assigned in ARIS from a solution process in SAP® Cloud ALM. If you have a requirement exported to SAP® Cloud ALM they are assigned in ARIS and in SAP® Cloud ALM.

    6. Optional: You can test the connection to SAP® Cloud ALM.

    7. Click Save.

    You have added an SAP® Cloud ALM destination. The process library that contains all the processes of the ARIS system is automatically available. You can use the processes of this process library in your projects. You can have multiple processes with multiple scopes in each project.

    Register SAP® system for running SAP® executables

    To allow users to run SAP® executables from Published content Published content, you must register the default SAP® system to be used.

    Prerequisites

    • You have the Admin role.

    • You have the Configuration administrator function privilege.

    Procedure. Procedure

    1. Click Application launcher Application launcher > Administration Administration.

    2. Click Conventions > SAP ® executables. All connected SAP® systems are listed.

    3. Click Add Add system to add a server.

    4. Enter the logical name of the server. The name must be unique and should correspond to the related System ID.

    5. Enter the SAP system description exactly like it is specified in the SAP GUI.

    6. To retrieve the correct string, start the SAP ® Logon.

    7. Select the SAP system and right-click Properties. The System Entry Properties dialog opens.

    8. Copy the string from the Description field and paste it into the SAP ® system description field.

    9. If you have registered several systems, the system listed fist will be used as default automatically. Otherwise, select the Default system.

    Executables are started by the registered SAP® system.

    Run SAP® executable

    Run executables from Published content Published content in the connected SAP® system.

    Prerequisite

    Your administrator has registered a default SAP®Server for the start of executables.

    Procedure. Procedure

    1. Navigate to the relevant model of the EPC type, where executables are available.

    2. Open the model.

    3. Click Executables. You can run the Executable executable automatically via the default server in each row displaying the related Transaction code attribute value. Click the Down arrow arrow head to display all registered SAP® Servers. The default server selected is indicated by a check mark.

    4. Run the executable. The SAP ® logon dialog opens.

    5. Enter the number of the SAP® client and the user name, and click OK. Depending on your browser settings, the Run SAP executable dialog opens.

    6. Enter the password and click Log on.

    The executable is run in the current language. The logon remains active until you log out of the portal, enter different logon data, or close the SAP® system. To delete the current SAP® logon data, click the Down arrow arrow head and then Reset logon data. For the next executable start you need to log on to the SAP® system again.

    If you start an executable of the Fiori application type for the first time or log out from SAP Fiori® launchpad before you start the executable, the Start page is displayed instead of the Fiori app. In this case, start the same executable again.

    Add processes to the process library

    You must add processes to the process library first. They will then be used in the projects. All processes that you want to use in SAP® Cloud ALM must be contained in the process library.

    You can add end-to-end processes or single processes. End-to-end processes have assignments to subprocesses that represent refinements of a specific process step. Single processes are dedicated processes.

    Procedure. Procedure

    1. Click Application launcher Application launcher > Models and objects Models and objects.

    2. Select a database.

    3. Click Manage SAP projects Manage SAP projects. The view to manage SAP® Cloud ALM projects is displayed.

    4. Hover the mouse over the row of the process library and click Add end-to-end processes Add end-to-end processes to add an end-to-end process, or Add single processes Add single processes to add a single process.

    5. Select the processes you want to add. To find the process more easily, type the name of a process in the search field.

    6. Click Save. If you added an end-to-end process, all models contained in the end-to-end process that are assigned to SAP functions are listed. If the end-to-end process is a BPMN diagram, all assigned models are listed.

      The added process is indicated as Not ready.

    7. Click the process to edit the details of the process.

    8. Specify the process attributes for the business process ane add a County/Region, if required.

    9. Click the arrow in front of the process library to see all processes that are contained. If the type of a process is indicated as Not managed by ARIS, these processes are not contained in your database or not intended to be managed by you. Click Filter by to filter the list.

    You have added a process to your process library.

    Open the Manage SAP® Cloud ALM projects view

    Open the Manage SAP® Cloud ALM projects view.

    Procedure. Procedure

    1. Click Application launcher Application launcher > Models and objects Models and objects.

    2. Select a database.

    3. Click Manage SAP projects Manage SAP projects. The view to manage SAP® Cloud ALM projects is displayed.

    The process library and the projects are displayed.

    Filter the view

    You can filter the processes displayed. You have two possibilities to filter the view.

    Use Filter by

    Procedure. Procedure

    1. Open the Manage SAP® Cloud ALM projects view.

    2. Click Filter by Filter by. The dialog opens.

    3. Open the SAP hierarchy or the Status and disable the items you do not want to display.

    4. Click Apply and close the dialog.

    Only the selected processes are displayed.

    Use the search field

    Procedure. Procedure

    1. Open the Manage SAP® Cloud ALM projects view.

    2. Type a part of the name of the processes you want to display.

    Only the processes that contain your input are displayed.

    You can use the search field to search for any value in any column of the process list. You can also search for a region or a business process.

    Refresh view

    You can refresh the Manage SAP® Cloud ALM projects view.

    Use Filter by

    Procedure. Procedure

    1. Open the Manage SAP® Cloud ALM projects view.

    2. Click Refresh Refresh.

    You have refreshed the Manage SAP® Cloud ALM projects view.

    Edit a process

    You can edit a process. You must add missing data if the process is in state Not ready.

    Procedure. Procedure

    1. Open the Manage SAP® Cloud ALM projects view.

    2. Click the process you want to edit. The dialog opens.

    3. Enter the required process attribute and (optional) the country or region. Mandatory input is indicated by an Asterisk asterisk.

    4. Click Save.

    If all required data are available, the status changes to New. You can export the process from the process library to SAP® Cloud ALM.

    Edit a process in the modeling component

    You can edit a process.

    Procedure. Procedure

    1. Open the Manage SAP® Cloud ALM projects view.

    2. Select the process you want to edit.

    3. Click More More.

    4. Click Edit process in modeling component. The model opens for editing in the modeling component in a new browser tab.

    5. Make you changes.

    6. Click Save Save.

    You have edited a process.

    As soon as the process is approved and published, you can export it to SAP® Cloud ALM.

    Calculate status

    You can check whether solution processes were changed in ARIS since the last export to SAP® Cloud ALM and should therefore be exported again.

    If you have upgraded from an ARIS version prior to SR 28 or restored a destination from a version prior to SR 28, Calculate Status will not work until you have re-exported the single process or the E2E process.

    Prerequisites

    • You have added a SAP® Cloud ALM destination and selected the required diagram transfer options.

    • You have added processes to the process library.

    Procedure. Procedure

    1. Open the Manage SAP® Cloud ALM projects view.

    2. Click Calculate status. Determining the change status may take some time.

      To check the status, SAP® Cloud ALM-relevant attributes and the content of the models are taken in account.

      • Object occurrences and definitions used by a model, such as the name of definitions, position of occurrences as well as new occurrences for value flows and process flows are checked.

      • Assigned process flows for E2E processes: new or removed process flows at E2E processes are checked.

      • SAP attributes assigned to the solution process: changed business process, region or name and description of a model are checked.

    The list is up to date and the current status is shown for all processes.

    If required, start an Export Export.

    Export process to SAP® Cloud ALM

    You can either export Enterprise BPMN 2.0 diagrams with the model types MT_BPMN_PROCESS_DIAGRAM, MT_BPMN_COLLABORATION_DIAGRAM, MT_ENTERPRISE_BPMN_PROCESS, MT_ENTERPRISE_BPMN_COLLABORATION or ECP-based process models to SAP® Cloud ALM. If selected in the diagram transfer options, processes are converted to BPMN diagrams and can be updated.

    The communication between ARIS and SAP® Cloud ALM is only performed via the export functionality. You can only export processes that are not in the Not ready state.

    Prerequisites

    • You have added a SAP® Cloud ALM destination and selected the required diagram transfer options.

    • You have added processes to the process library.

    Procedure. Procedure

    1. Open the Manage SAP® Cloud ALM projects view.

    2. Select the processes you want to export.

    3. Click Export Export.

      Depending on the process type of the selected process and the diagram transfer options, the content is exported in different ways. The difference between a single process and an end-to-end process is that in a single process, the process itself is the only process flow diagram. In an end-to-end process, an SVG graphic of the end-to-end process model is created as a value flow diagram in SAP® Cloud ALM and the assignments are created as a process flow. In end-to-end process BPMN diagrams, all process model assignments are taken into account, whereas in VADs, only those that are defined for a function with an SAP function symbol are taken into account.

    The selected processes including their graphics are exported to SAP® Cloud ALM and the state switches to Exported.

    The processes stay in this state until something was changed in the processes and you clicked Calculate status.

    The log files of the export are downloaded to your hard disk. You can alternatively display the log files in ARIS Administration.

    The following states exist: Not ready, New, Exported, Changed, Obsolete - To be deleted. This means, deleted in ARIS, will be deleted from SAP® Cloud ALM with the next export, and Deleted from SAP means, that the process is deleted in SAP® Cloud ALM but still exists in ARIS.

    Show process in SAP® Cloud ALM

    You can display an exported process in SAP® Cloud ALM.

    Procedure. Procedure

    1. Open the Manage SAP® Cloud ALM projects view.

    2. Select a process.

    3. Click More More.

    4. Click Show process in SAP® Cloud ALM.

    5. Enter your credentials for the SAP® Cloud ALM system, for example your e-mail address and password.

    You are logged in to SAP® Cloud ALM. On the General Information tab, the process is displayed in the Accelerators area. If the exported process is an end-to-end process, all assigned models are displayed as accelerators.

    If you click the model, the fact sheet of the process is displayed in ARIS.

    If you click Solution Value Flow, an end-to-end process is graphically displayed.

    If you click Solution Process Flow, the processes that are assigned to, for example, SAP functions in the exported end-to-end process, are graphically displayed. For a single process, the process is displayed.

    Copy process from the process library to a project

    The process library contains all processes available in the SAP system. To use the processes in different scopes, you must copy one process after another from the process library to the scope of a project.

    Procedure. Procedure

    1. Open the Manage SAP® Cloud ALM projects view.

    2. Select a process in the process library.

    3. Click More More.

    4. Click Copy Copy processes.

    5. Make sure that you have selected nothing, and select a scope of your project. A scope can reflect, for example, the different departments of a company.

    6. Click More More.

    7. Click Paste Paste processes.

    The process is added to the scope of the project.

    Add process to the SAP® Cloud ALM process list from 'Models and objects'

    You can add a process to the SAP® Cloud ALM project list from Models and objects.

    Procedure. Procedure

    1. Click Application launcher Application launcher > Models and objects Models and objects.

    2. Navigate to the group that contains the process you want to add.

    3. Select the process.

    4. Click More More > Add to SAP ® project list.

    The process is added to the SAP® Cloud ALM project list and the process list is displayed.

    You can display the SAP® Cloud ALM process list from Models and objects.

    Procedure. Procedure

    1. Click Application launcher Application launcher > Models and objects Models and objects.

    2. Navigate to the group that contains the process you want to add.

    3. Select a process that is already part of an SAP® Cloud ALM project.

    4. Click More More > Show in SAP ® project list.

    The SAP® Cloud ALM project list is displayed.

    Copy a process

    You can copy a process.

    Procedure. Procedure

    1. Open the Manage SAP® Cloud ALM projects view.

    2. Select a process.

    3. Click More More.

    4. Click Copy Copy processes.

    You have copied a process.

    You can paste the copied process in, for example, a different scope. To do so, select the scope of the same project or of a different project. Click More More. Click Paste Paste processes.

    Delete a process

    You can delete a process. You can no longer use a process that was deleted from your process library. The process is not deleted from the ARIS database.

    If you delete a process from a scope of a project the process is removed from the scope of the process, but is still available in the process library. The state of the process is then Obsolete - to be deleted and you must export the process again to remove the process from SAP® Cloud ALM.

    Procedure. Procedure

    1. Open the Manage SAP® Cloud ALM projects view.

    2. Select a process.

    3. Click Delete Delete.

    The process is either deleted from the process library or removed from the scope of a project.
